Starting with the 2016-2017 reporting year, the program activity demographics form has been greatly simplified. You now have the option to specify “Unknown”, “Estimated”, or “Actual” for the method used to measure program activity demographics.
Program activities entered before the 2016-2017 year will continue using the old tables. All program activities from the 2016-2017 fiscal year and on will use these new tables.
For SNAP-Ed Users:
The age & sex table must add up to the overall total for SNAP-Ed users. This is a requirement for 2017-2019 EARS data. If you enter data for ethnicity it will be validated to make sure the sum of the numbers entered is not higher than the overall total. Since people may report multiple races the race table will allow for a sum higher than the total number of participants for the activity.
For Extension Users:
The only required fields for extension users is the total number of participants and the method used to find that total. You may enter more detailed demographic information if you collected it but you will be able to fill out the demographics form without it. The age & sex table, along with the ethnicity table, will be checked to ensure the totals are not higher than the total number of participants recorded.
