EARS Report

PEARS can automatically generate the Education and Administrative Reporting System (EARS) form tables. SNAP-Ed administrators must submit these tables annually to FNS.

To Run the EARS Report

  1. Navigate to Analyze in the navigation menu, then choose "EARS Data"

  2. Select the appropriate Reporting Period

  3. Begin typing in the Units box to select one or more units. Type the name of your state to run EARS for the entire state.

  4. Choose a method as follows (new):

    1. Duplicated reach for item 5 – For column F of item 5, this method sums reach across all reported program activities, pse site activities, indirect activities, and social marketing campaigns. This was the default behavior of the EARS report until Fall 2018.

    2. Estimate unique reach for item 5 – Added as a new option in Fall 2018, this method follows the algorithm outlined below to better approximate unique reach in column F of item 5.

  5. Check include incomplete records to include all records not yet marked as complete by users.

  6. Optionally specify a start date and/or end date to further filter data. Dates must fall within the reporting period range. Leave blank if generating EARS for an entire fiscal year.

  7. Click Run Report Button.

PEARS will open a new browser tab or window showing your EARS report. This report may take up to a few minutes to generate, depending on the amount of data entered for the specified filters.

Unique Reach Algorithm
Starting in Fall 2018, you can optionally ask PEARS to estimate unique reach in item 5 column F by selecting the Estimate unique reach for item 5 option as the method. This algorithm works as follows:

  • For each intervention
    • For each unique site within this intervention
      • If the PSE Site activity with the largest reach at this site has a reach greater than the sum of all Program Activities at this site, then count only the reach of that PSE Site Activity. Otherwise, sum and count the reach of all Program Activities at this site
    • Go to the next site and keep a running total of reach
    • Sum and add the reach of all social marketing campaigns coded to this intervention
    • Sum and add all the newly reached amounts for indirect activities coded to this intervention
    • Put reach into column F of the item 5 row for this intervention
  • Go to the next intervention
